TITLE: Scholarship Program Administrative Assistant
DEPT: Scholarship

REPORTS TO: Scholarship Director

PURPOSE: This position provides the clerical support for the management of the scholarship program.

RESPONSIBILITIES:

  • Primary record keeper for the process associated with activating and renewing Project GRAD scholarships
      • Update each semester’s scholarship payment list
      • Request refunds from universities in which students do not attend.
      • Create check requests for student payments for appropriate semester.
      • Check and return phone messages from Scholarship department phone lines.
      • Utilize dual language skills when providing information to parents and other parties
      • Copying/faxing/filing of all student information and documentation after all necessary copying and faxing has been done.
      • Contact students via email, phone or mail regarding academic situations that may interfere with scholarship award, and assist in tracking students’ performance to ensure that scholarship recipients remain in compliance with program scholarship guidelines.
      • Assist with organizing mail outs at different times of the year to all scholarship recipients.
      • Update files and contact information ensuring that data sheet reflects the same information in files. 
      • Contact colleges and universities of scholarship recipients regarding student’s scholarships on certain occasions.
      • Assist in tracking disbursements of unclaimed checks and checks of students who have transferred.
      • Send out scholarship renewal mail outs for the upcoming school year informing them of the guidelines and call students reminding them to renew.
      • Contact students of needed actions.
  • Maintains the scholarship program database including data inputting and report retrieval
  • Assists with projects/events pertinent to the Scholarship Program (i.e., Walk for Success; College Day/Week; Senior Seminars, etc.)

EXPERIENCE

    • Three years clerical/administrative work

EDUCATION & CERTIFICATIONS

    • H.S. Diploma required; college hours preferred
    • Microsoft Office certification desired

SKILLS

    • Proficiency with Access preferred.
    • Excellent communication skills with adolescents and adults (English/Spanish)
    • Knowledge of college access issues, including financial aid, desired.
